SBB REAL ESTATE

Enterprise Workflow Simplification

Designing a structured, high-fidelity prototype to simplify complex real estate demand creation within a SAP-driven enterprise environment.

SBB Real Estate operates within a highly regulated and process-heavy infrastructure ecosystem, where project demands for properties and land follow strict validation and documentation logic.

The UX team was brought in at a late project stage to clarify and simplify an already defined workflow — focusing on interaction structure, usability, and alignment with SAP Fiori design standards.

This project translates a complex, business-driven process into a coherent, clickable desktop prototype to support clarity, review, and stakeholder discussion.

Project Scope

Re-structuring and prototyping a complex real estate demand workflow within an established SAP Fiori environment.

Role: UX/UI Designer
Scope: Workflow Simplification · SAP Fiori Component Design · High-Fidelity Clickable Prototyping (Figma) · Stakeholder Presentation

Project Context

SBB Real Estate manages infrastructure-related project demands for properties and land within a structured SAP ecosystem. The workflow required handling multi-step validation logic, status tracking, documentation requirements, and strict terminology — all embedded in predefined SAP-based system constraints.

The challenge was not creating a new product from scratch, but simplifying and clarifying an already defined enterprise process.

Product Challenges

  • Complex SAP-based workflow with predefined business logic

  • Multi-step project demand creation across properties and land assets

  • Strict validation rules, status tracking, and documentation requirements

  • High information density within a desktop-first enterprise environment

  • Fixed SAP Fiori design constraints and component limitations

  • Limited opportunity for structural changes due to late project involvement

Project Objectives

  • Translate a complex real estate demand process into a clear interaction structure

  • Reduce cognitive load through simplified screen flows and hierarchy

  • Align workflow logic with SAP Fiori UI patterns and components

  • Improve transparency of status, validation, and approval states

  • Deliver a high-fidelity clickable prototype to support stakeholder alignment

High-Fidelity Interactive Prototype

A fully clickable multi-step workflow prototype built in Figma using SAP Fiori stencils. The prototype translates a complex internal real estate demand process into a structured, guided interaction flow — including portfolio classification, GIS integration, asset assignment, role management, validation logic, and workflow confirmation states.

Designed to support stakeholder alignment and demonstrate a simplified alternative to an already implemented SAP solution.

Conclusion & Key Takeaways

Although the proposed interaction model was well received, the organization had already invested in an existing SAP-based implementation. Due to project timing and budget constraints, no structural changes were introduced.

The prototype nevertheless served as a strategic reference for simplifying complex internal workflows and aligning stakeholders around a clearer interaction model.

Key Takeaways

  • Simplifying enterprise workflows requires early UX involvement

  • SAP-based systems can be significantly improved through structured interaction design

  • High-fidelity prototypes are powerful tools for stakeholder alignment

  • Clear state management reduces cognitive load in multi-step processes
